POSITION SUMMARY:

AMS is looking for an Accounting Assistant to process, record, reconcile, and manage cash receipts across our organization, along with supporting accounts payable functions as needed. In this role, you'll help keep customer accounts accurate — making sure every payment is properly identified and applied — while partnering closely with branch teams, project managers, accounting staff, and our banking partners to resolve payment issues quickly and keep cash receipts moving smoothly. We're looking for someone who's highly organized, analytical, and comfortable managing a high volume of financial transactions without ever losing sight of accuracy, confidentiality, or strong internal controls.

DUTIES/RESPONSIBILITIES:

Cash Receipts

  • Process and accurately record daily cash receipts from customers through ACH, electronic payments, checks, credit cards, wires, and other payment methods.
  • Review incoming payments and supporting remittance information to accurately identify the customer, company, job, invoice, and/or account to which the payment should be applied.
  • Apply customer payments accurately and timely to the appropriate accounts and invoices.
  • Research unidentified, unapplied, and partially applied cash receipts and work with internal personnel and customers to resolve discrepancies.
  • Monitor daily cash receipts and ensure all payments are properly recorded in the accounting system.
  • Reconcile cash receipts and deposit activity to bank records and accounting system activity.
  • Investigate and resolve discrepancies between bank deposits, payment records, customer accounts, and the general ledger.
  • Maintain detailed documentation supporting cash receipts and payment applications.
  • Coordinate with branches and other company personnel to obtain information necessary to identify and apply payments.

Accounts Payable Support

  • Process and code vendor invoices to the appropriate general ledger accounts, cost centers, jobs, and/or projects.
  • Verify invoices against purchase orders and supporting documentation.
  • Assist with scheduling vendor payments in accordance with company policies.
  • Reconcile vendor statements and assist with resolving discrepancies.
  • Maintain accurate accounts payable records.

Administrative and Accounting Support

  • Assist the Accounting department with accounting and administrative duties as needed including bank reconciliations.
  • Prepare spreadsheets, reports, correspondence, and other financial documentation.
  • Maintain organized and accurate accounting records.
  • Perform filing and other miscellaneous duties as assigned.
  • Assist with special accounting projects and process improvements as needed.

Qualifications

  • High School Diploma or equivalent required.
  • Associate degree in Accounting, Business, or a related field preferred.
  • Minimum of two years of accounts receivable, cash receipts, accounts payable, or general accounting experience.
  • Experience with high-volume cash receipts and payment application preferred.
  • Construction, HVAC, mechanical, plumbing, or commercial service industry experience preferred.
  • Strong Microsoft Excel, Word, and Outlook skills.
  • Experience with accounting software preferred.
  • Strong analytical and reconciliation skills.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Strong time-management skills with the ability to meet deadlines.
  • Ability to work independently and manage multiple priorities.
  • Ability to communicate professionally with customers, vendors, and internal personnel.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Ability to pass required background screening.

Physical Requirements

  • Prolonged periods of sitting and working at a computer.
  • Ability to sit and/or stand while performing job duties.
  • Ability to maintain sustained attention to accuracy and detail.
  • Ability to lift and/or move objects weighing up to 15 pounds.
